Coosaw Futures, Corp. (“Coosaw Futures,” “we,” “our,” or “us”) is a South Carolina nonprofit corporation (Filing ID: 260615-1559032) formed by Coosaw Point property owners. Our registered office is located at 45 Park Square South, Beaufort, South Carolina 29907. We operate the website coosawfutures.org and communicate with the Coosaw Point community at [email protected].

Coosaw Futures is organized exclusively for charitable and educational purposes. We are an independent property owner advocacy organization. We are not the Coosaw Point Property Owners Association, Inc., the Declarant, or any builder operating in the Coosaw Point community.

2.  Scope of This Policy

This Privacy Policy explains how Coosaw Futures collects, uses, stores, and protects personal information when you:

  • Contact us by email at [email protected]
  • Submit a membership application or express interest in membership
  • Submit a question, concern, or comment to the organization
  • Attend a Knowledge Series session or community event where your contact information is collected via a sign-in sheet
  • Become a member and are included in our membership records

When you contact us, apply for membership, attend an event, or submit a question, you may provide:

  • Your mailing address (if different from your property address)
  • Your email address
  • Your phone number
  • Your payment information (check, Venmo, or PayPal reference) for dues or contributions
  • Questions, concerns, or comments you submit to the organization
  • Whether you indicated interest in committee volunteer work

3.2  Information Collected Automatically

Our website is hosted on WordPress. Like most websites, our hosting platform may automatically collect certain technical information when you visit, including:

  • Your browser type and version
  • Your device type
  • The pages you visit and the time of your visit
  • Your general geographic location (derived from IP address, not precise location)

This technical information is collected by our hosting provider (Bluehost) and is used solely for website security and performance purposes. We do not use it for marketing or targeting.

3.3  Information Collected at Events

When you attend a Coosaw Futures event such as the monthly Knowledge Series or community Open House, we may collect your name, email address, property address, and phone number via a physical sign-in sheet. We may also note whether you indicated interest in membership or volunteering. Event sessions may be recorded for the purpose of producing a meeting summary; you will be notified at the event if recording is in use.

3.4  Membership Records

If you become a member of Coosaw Futures, we maintain a membership record that includes your name, property address, contact information, membership status (active, lapsed, or pending), dues payment history, and any charitable contributions you have made. This record is maintained by the Secretary and the Treasurer and is accessible to Management Team members for organizational purposes only.

3.5  Question and Inquiry Records

If you submit a question or concern to Coosaw Futures — whether by email, at an event, or through the website — we maintain a record of that question and any response we provide. This record is used to:

  • Ensure your question receives a response
  • Track community concerns that may inform the Knowledge Series agenda
  • Maintain organizational continuity across committee transitions

Questions submitted to Coosaw Futures may be shared internally with the relevant committee chair. Questions will not be publicly attributed to a named individual without your explicit consent.

We use the information we collect only for the following purposes:

Coosaw Futures is a small nonprofit organization operated entirely by volunteers. We store personal information in the following systems:

  • Member records: maintained in a password-protected digital file accessible only to the Secretary, Treasurer, Webmaster and designated Management Team members and agents
  • Event sign-in sheets: physical sheets transferred to digital records within 7 days and stored in the organization’s secure file system; paper copies destroyed after digitization
  • Email correspondence: maintained in the organization’s email accounts are accessible only to authorized Management Team members
  • Question and inquiry log: maintained in the organization’s secure file system; accessible to the relevant Committee Chair and Management Team members on a need-to-know basis
  • Payment records: check and electronic payment references maintained by the Treasurer; we do not store credit card numbers or full banking information

We take reasonable precautions to protect your information from unauthorized access, including password protection of all digital files and limiting access to authorized Management Team members only. However, no data storage system is perfectly secure, and we cannot guarantee absolute security of information transmitted electronically.

6.  Sharing of Your Information

We do not sell, rent, trade, or otherwise transfer your personal information to any outside party. We may share your information only in the following limited circumstances:

  • Within the Management Team: authorized Management Team members may access member and inquiry records as needed to carry out organizational functions
  • Legal counsel: we may share relevant information with our retained legal counsel when necessary for the Corporation to obtain legal advice, subject to attorney-client privilege
  • Service providers: our website hosting provider (Bluehost) and email provider (Google) process data on our behalf as part of their standard service; these providers are subject to their own privacy policies
  • Legal requirements: we may disclose information if required to do so by law, court order, or other legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of Coosaw Futures, its members, or the public

We will never share your personal information with the Coosaw Point Property Owners Association, the Declarant, any builder, or any other community organization without your explicit written consent. Your information is used only to serve the mission of Coosaw Futures, Corp.

7.  Your Rights Regarding Your Information

You have the following rights with respect to the personal information Coosaw Futures holds about you:

Right to Access

You may request a copy of the personal information Coosaw Futures holds about you. We will respond within 30 days of a written request sent to [email protected]

Right to Correct

If any information we hold about you is inaccurate, please notify us and we will correct it promptly.

Right to Delete

You may request that we delete your personal information from our records. If you are a current member, deletion of your records will result in termination of your membership. We will retain records required for tax, legal, or corporate compliance purposes (such as donation acknowledgments and financial records) for the period required by law, even after a deletion request.

Right to Opt Out of Communications

You may opt out of organizational communications at any time by emailing [email protected] with the subject line “Unsubscribe.” Note that members in good standing will continue to receive communications directly related to their membership obligations (dues notices, meeting notices required by the Articles of Incorporation) even after opting out of general communications.

Right to Withdraw Membership

You may withdraw your membership at any time by written notice to the Secretary. No refund of prior dues will be issued upon withdrawal. Your contact information will be removed from active membership records within 30 days; records required for tax and compliance purposes will be retained as described above.

8.  Cookies and Website Analytics

Our website is hosted on WordPress via Bluehost. WordPress and standard website hosting may use cookies — small data files stored on your device — for basic website functionality including session management and security. We do not use advertising cookies, behavioral tracking cookies, or third-party analytics services beyond what is included in our standard WordPress installation.

You may control cookies through your browser settings. Disabling cookies may affect the functionality of certain website features. We do not respond to Do Not Track signals at this time, as we do not engage in cross-site tracking.

9.  Links to Third-Party Sites

Our website contains links to third-party websites, including the Beaufort County Register of Deeds, the South Carolina Secretary of State’s website, and our Facebook group. These sites are not operated by Coosaw Futures and are subject to their own privacy policies. We are not responsible for the privacy practices of any third-party website. We encourage you to review the privacy policy of any site you visit.

10.  Our Facebook Group

Coosaw Futures maintains a Facebook group at facebook.com/groups/coosawfutures. This group is operated through Facebook’s platform and is subject to Facebook’s own Privacy Policy and Terms of Service. Information you post in the Facebook group is not governed by this Privacy Policy. Members and visitors to the Facebook group should be aware that content posted there may be visible to all group members and, depending on Facebook’s settings, may be visible beyond the group.

We do not use the Facebook group as a primary record-keeping system. Official organizational records, meeting minutes, and governance documents are maintained on coosawfutures.org and in the organization’s secure file system.

11.  Children’s Privacy

Our website and organizational activities are directed at adults who are property owners at Coosaw Point. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at [email protected] and we will delete it.

12.  Changes to This Privacy Policy

We may update this Privacy Policy from time to time as our organizational practices evolve or as required by applicable law. When we make material changes, we will update the “Last Updated” date at the top of this page and, if the changes are significant, notify members by email. Your continued use of the website or continued membership after a policy update constitutes acceptance of the revised policy.
